This policy explains how WICRESET.PRO handles personal data when you browse the store, place an order, contact us or use the reset application. We limit the data we collect to what is needed to provide, protect and account for the service.
1. Who is responsible
The controller is WICRESET.PL Mariusz Nowak, ul. Kolejowa 15c, 55-300 Środa Śląska, Poland, NIP 9131453876, REGON 384284818. For privacy questions or requests, email wicreset@wicreset.pro or write to the postal address above.
2. Data we process
Store orders: the details you enter at checkout, including your name, email address, billing details, country, company and tax details if supplied, products ordered, order number, payment status, transaction reference and the keys delivered to you. The payment provider processes payment details under its own terms; the store should not receive a full card number.
Contact and support: your contact details, messages, order information and diagnostic details you choose to provide, such as a printer model, error message or screenshot. Please do not send passwords or complete payment-card details.
Store and service connections: technical request details needed to deliver pages, protect the service and troubleshoot failures, such as request time, requested resource, browser or application version, response status and the source network address used to establish the connection.
Application: the data described in section 4 when a key is checked or a reset is requested.
3. Why we use data
We use order and delivery data to take steps at your request, perform the sales contract, send purchased keys and provide support (GDPR Article 6(1)(b)). We keep invoices and other mandatory records to meet tax and accounting obligations (Article 6(1)(c)).
We use proportionate service-security and complaint records to keep the store and key service working, prevent misuse, investigate faults and establish or defend claims (Article 6(1)(f); our legitimate interests are service security, reliable delivery and defence of legal rights). We do not treat a privacy-policy acknowledgment as consent to data that is unnecessary for a purchase.
We use the UUID received with an application request only to associate and verify service events and investigate technical faults, under the contract and our legitimate interest in reliable, abuse-resistant key validation. We do not use it to profile customers for advertising.
4. Data sent by the application
For online key validation and a requested reset, the application sends the printer model, printer serial number, a UUID and the key or reset request to the WICRESET.PRO service. The model identifies the procedure. The serial number and key let us verify which printer was reset and maintain an accurate reset history. The service records the date and time of the reset.
Where these details can be linked to a customer or device, we treat them as personal data. We do not use them for advertising or sell them. The application sends these details when the relevant online function is used; simply browsing the store does not send printer details.
5. Who receives data
Access is limited to the seller and providers needed to operate the store and deliver keys, such as website hosting, email delivery, payment processing, accounting and technical support. Providers acting on our behalf must use the data under our instructions and appropriate safeguards. A payment provider may also process data as an independent controller, as explained in its own notice.
If you enter a Polish tax ID at checkout, the store may send it to the Polish Ministry of Finance's public VAT taxpayer register API to fill in the company address. You enter the full registered company name yourself. The store uses only the company details needed for the form. The result may be cached for up to 12 hours to reduce repeat requests. You can correct the details before ordering.
Payment providers are identified at checkout before you choose a payment method. If a provider processes data outside the European Economic Area, we use a lawful transfer mechanism, such as an adequacy decision or the European Commission's standard contractual clauses with appropriate safeguards. You can request information about a particular transfer and the applicable safeguard at wicreset@wicreset.pro.
6. How long we keep data
Tax and accounting documents are kept for the period required by Polish law, generally five years from the end of the calendar year in which the tax payment deadline passed. Support correspondence and dispute evidence are kept only for as long as needed to handle the matter and applicable claim periods.
Reset-service records: UUID, technical connection details and other operational data from a completed reset are kept for six months after the service is performed. The printer model, printer serial number, and date and time of the reset remain linked to the key in a minimal reset-history record. We retain this record for as long as needed to verify the use and history of that key. Purchased keys have no time-based expiry, so this record has no preset deletion date. We review the need for continued retention and delete or irreversibly anonymise the record when that purpose ends.
The six-month rule does not shorten mandatory tax retention or records necessary for an active legal claim. Support correspondence is retained while a request or dispute is open and for the applicable claim period, then deleted or anonymised.
8. Your rights
Subject to the conditions in the GDPR, you may request access to your data, correction, erasure, restriction, portability, and object to processing based on legitimate interests. If we use consent for an optional purpose, you may withdraw it at any time without affecting earlier lawful processing. Send requests to wicreset@wicreset.pro. We may need to verify your identity before releasing account or order details.
You may complain to the President of the Polish Personal Data Protection Office (UODO) or another competent supervisory authority. Providing order and email details is necessary to conclude and fulfil an online key purchase; without them we cannot deliver the order. Optional details are identified where requested. We do not make decisions producing legal or similarly significant effects solely by automated processing on the basis of this policy.
9. Updates and other notices
We will update this notice when material data uses or providers change and show the effective date at the top. The Terms and Conditions explain the sale and use of digital keys.
